Rescheduling meeting is a normal practice in global organizations and corporates, schedule meetings in Outlook and sometimes things come up and you need to reschedule a meeting, which is already in all the attendee calendars.
Once you created a meeting, the Outlook calendar saves that meeting on that specific day, for rescheduling a meeting, you must have a scheduled meeting in the pipeline and already saved it in your calendar.
Understanding Meeting Rescheduling in Outlook
In Microsoft Outlook, we can easily reschedule a meeting by changing the time, date, or other details of the event.
This is especially helpful when we need to accommodate changes in attendees’ schedules or when the original plan has been altered.
To begin with, we need to open our Outlook calendar and locate the meeting we want to reschedule.
Double-clicking on the meeting will open its details page, where we can modify the time, date, length, or description of the event.
It’s often helpful to include a note when rescheduling so that attendees are aware of the reason for the change.
Once we’ve made the necessary changes, it’s time to send an updated meeting invite to inform the attendees.
On the Organizer Meeting or Meeting tab, click “Send Update” to reflect the new schedule.
Keep in mind that when we reschedule a meeting, the Outlook calendar automatically updates for both the organizer and the attendees.
This ensures that everyone is aware of the updated schedule, minimizing potential confusion or conflicts.
It’s also worth noting that in the case of recurring meetings, we can edit either a single occurrence or the entire series, depending on our needs.

As meeting organizers, we can easily create and edit meeting invites in Outlook.
When creating a meeting, we can set the location, date and time, attendees, and description for the event.
If we need to make changes later, simply double-click the meeting in our calendar to open its details page.
From there, we can change any of the relevant details, such as the start and end times, or the event description.
It’s essential to always click “Send Update” after making any changes to ensure all attendees are notified of the updates.
When using the email client, make sure to save the changes and send the updated meeting invite to all affected parties.
Outlook makes it simple to modify a one-time or recurring meeting or cancel a meeting. Rescheduling is updating the one-time meeting on your calendar.
Here is the step-by-step process:
- Lunch Outlook >> Click on the calendar icon, navigation section from the bottom left corner of the Outlook screen.
- That will open your calendar, Go to the scheduled meeting date.
- Double-click it on that specific date.
- Now the on-time meeting window opens, you can change the inputs according to your requirement and then click the Send Update button.
Click Send Update, revised meeting invitation send to the recipients and updated in their calendar, which later reminds them according to their settings in Outlook.
Adding or Removing Attendees
Adding or removing attendees from a meeting is also a simple process. We can do this by opening the meeting details page and updating the list of attendees.
To add attendees, enter their email addresses into the “To” field.
To remove attendees, simply delete their email addresses from the same field. The Scheduling Assistant feature in Outlook also can help us find suitable times for the meeting when all participants are available.
In addition to required attendees, Outlook allows us to invite optional attendees. This can be useful in situations where certain individuals may benefit from the meeting but are not required to attend. To invite optional attendees, add their email addresses to the “Optional” field.
When updating attendee lists or making changes to the meeting, remember to click “Send Update” on the organizer meeting or meeting tab to ensure all relevant parties receive the updated information.
Drag and Drop Method
You can also change an appointment time by clicking on the appointment in the calendar and dragging it to a new time slot.
You can change the length of the appointment by clicking and dragging the top or bottom of the appointment box up or down using the mouse’s left button without releasing the button.
Once you release the button, Outlook confirms your request, select “Save changes and send an update” and OK. Another revised email sends to all recipients, which was also updated in their Outlook calendars.
Working with Recurring Meetings
Setting up Recurring Meetings
In Outlook, whether you’re using Microsoft 365, Outlook 2019, Outlook 2016, or Outlook 2013, setting up recurring meetings is a straightforward process.
First, let’s open our Outlook calendar and click on “New Meeting.” In the meeting request window, add the subject, location, start and end times, and the email addresses of the attendees.
Next, click on the “Recurrence” button on the toolbar.
In the recurrence window, set the desired pattern for your recurring meeting.
You can choose the frequency, such as daily, weekly, or monthly, and specify exceptions such as “every 2 weeks” or “every 3 months.”
You can also set the range for the meeting series, which may be a specific number of occurrences, an end date, or no end date.
When you’ve finished configuring the recurrence pattern, click “OK” and then “Send.”
Changing Series or Occurrence Details
Sometimes, you may need to make changes to a single occurrence or the entire series of a recurring meeting. We’ll show you how to do both.
When modifying a recurring meeting, make sure you’re using the same Microsoft account you used to create the meeting and that you have organizing privileges within your organization.
Edit Single Occurrence: To change the details of a single meeting occurrence, open your Outlook calendar, and double-click on the specific occurrence you want to modify. Select “Just this one” when prompted.
You can now update the date, time, description, or any other relevant information for that occurrence, then click “Send Update” to notify the attendees.
Edit Series: If you want to modify the entire meeting series, open your Outlook calendar, and double-click on the recurring meeting.
Select “The entire series” when prompted. You can now update the subject, location, start and end times, attendees, or recurrence pattern as needed. Click “Send Update” to notify all attendees of the changes.
Keep in mind that when you need to cancel a meeting, it’s important to do so through Outlook so your attendees are notified.
To cancel an individual occurrence, open the occurrence as mentioned above and choose “Delete” under the “Meeting Occurrence” tab.
To cancel the entire series, open the series and choose “Delete” under the “Meeting Series” tab.
By following these simple steps, we can effectively manage our recurring meetings in Outlook, ensuring that our schedules are up-to-date and our attendees are well-informed.
How to change recurring meeting times in Outlook Calendar?
The recurring meeting is like an on-time meeting, the only difference is (recurring), Here are the steps to modify or reschedule the meeting for a single occurrence or entire series.
- Open Calendar view and double-click on the event (recurring meeting) saved in the calendar.
- Select, whether you like to open just one meeting of the series or the entire one for rescheduling.
Let’s understand both scenarios, in detail:
Reschedule recurring meetings for a single month
Above the dialog box “Open Recurring Item“, click on Just this one option, and click OK.
This step walks you through the Meeting Occurrence window, here you can change the time, date, location, add a member, and Outlook time zone as you need.
An outlook dialog box, it’s a confirmation to change only this month from the series, Click Yes.
Reschedule recurring meetings for the entire series
Select “the entire series” option from the above dialog box (Open the series), and click OK
Recurring is about a series and in this scenario, you will change the entire series of meetings, there is no confirmation required from Outlook, as we see in the above example.
The Meeting Series window opens, and you can change or modify the revised requirement, Click Meeting Series>> Recurrence.
You can change the appointment time, recurrence pattern, or range of recurrence of this recurring meeting accordingly & click the OK button.
Finally, click the Send button, and the modification is required again to send to your members.
Rescheduling or editing meeting in Outlook is not rocket science. There must be room for every event modification.
Canceling Single Meetings
To cancel a single meeting in Outlook, first open the calendar and locate the specific meeting you want to cancel.
Double-click on the meeting entry to open its meeting details. In the meeting window, click on the “Cancel Meeting” button located in the toolbar’s ribbon.
This will open a cancellation email, which can be customized with a message for the attendees. Remember that a reminder will no longer be sent for a canceled meeting.
After adding any desired message, click “Send Cancellation” to confirm the meeting’s cancellation. Attendees will receive an email notifying them of the canceled meeting.
Canceling Recurring Meetings
For canceling recurring meetings, the process is slightly different. First, find and open the specific recurring meeting in your calendar by double-clicking its entry.
In the “Recurring Meeting” window, you can choose the option “Cancel the Entire Series” under the appointment tab. This will cancel all future occurrences of the recurring meeting.
Alternatively, you can select “Cancel Occurrence” if you only need to cancel a specific instance of the recurring meeting.
This cancels a single occurrence in the series without affecting the rest.
As with single meetings, a cancellation email will be generated, which can be customized before sending it to the attendees.
Remember to review the meeting details before canceling, as this action will remove the meeting from your calendar and the calendars of all attendees.
