Rescheduling meeting is a normal practice in global organizations and corporates, schedule meetings in outlook and sometimes things come up and you need to reschedule a meeting, which is already in all the attendee calendars.
Once you created a meeting, the Outlook calendar saves that meeting on that specific day, for rescheduling a meeting, you must have a scheduled meeting in the pipeline and already saved it in your calendar.
How do reschedule meeting times in Outlook?
Outlook makes it simple to modify a one-time or recurring meeting or cancel a meeting. Rescheduling is updating the one-time meeting on your calendar. Here is the step-by-step process:
- Lunch Outlook >> Click on the calendar icon, navigation section from the bottom left corner of the Outlook screen.
- That will open your calendar, Go to the scheduled meeting date.
- Double-click it on that specific date.
- Now the on-time meeting window opens, you can change the inputs according to your requirement and then click the Send Update button.
Updating is like creating a new meeting schedule, you can change the date and time, add more members, change the location, or update by converting a one-time meeting to a recurring meeting.
Click Send Update, revised meeting invitation send to the recipients and updated in their calendar, which later reminds them according to their settings in Outlook.
Drag and Drop Method
You can also change an appointment time by clicking on the appointment in the calendar and dragging it to a new time slot. You can change the length of the appointment by clicking and dragging the top or bottom of the appointment box up or down using the mouse left button without releasing the button.
Once you release the button, Outlook confirms your request, select “Save changes and send an update” and OK. Another revised email sends to all recipients, which was also updated in their outlook calendars.
How to change recurring meeting times in Outlook Calendar?
The recurring meeting is like an on-time meeting, the only difference is (recurring), Here are the steps to modify or reschedule the meeting for a single occurrence or entire series.
- Open Calendar view, double click on the event (recurring meeting) saved in the calendar.
- Select, either you like to open just one meeting of the series or the entire one for rescheduling.
Let’s understand both scenarios, in detail:
Reschedule recurring meetings for a single month
Above the dialog box “Open Recurring Item“, click on Just this one option, and click OK. This step walks you through the Meeting Occurrence window, here you can change the time, date, location, add a member, and Outlook time zone as you need.
An outlook dialog box, it’s a confirmation to change only this month from the series, Click Yes.
Reschedule recurring meetings for the entire series
Select “the entire series” option from the above dialog box (Open the series), and click OK
Recurring is about a series and in this scenario, you will change the entire series of meetings, there is no confirmation required from Outlook, as we see in the above example.
The Meeting Series window opens, and you can change or modify the revised requirement, Click Meeting series >> Recurrence. You can change the appointment time, recurrence pattern, or range of recurrence of this recurring meeting accordingly & click the OK button.
Finally, click the Send button and the modification is required again to send to your members.
Rescheduling or editing meeting in Outlook is not rocket science. There must be room for every event modification.
