Adding a signature to your emails is a mark of professionalism, and it involves more than just your name.

It typically includes your job title, address, contact number, email address, and website URL. You can even enhance your email signature by adding your company logo. There are various methods to create an email signature.

in this blog post, I’ll guide you through a straightforward, step-by-step process to design a custom signature template using canva.com

Additionally, I’ll show you how to seamlessly integrate your new signature into both Outlook Classic and the New Outlook.

Let’s Get Started

When designing a custom email signature for Outlook, paying attention to small details is crucial.

Elements such as font size, style, color, text positioning, and graphics play a significant role in making your signature appealing.

An attractive signature not only captures the reader’s attention but also enhances the efficiency of our professional communications.

Moving forward, ensure your signature accurately represents your professional identity.

Designing Your Signature in Canva

In this section, I’ll walk you through how to select a suitable template, customize your signature’s aesthetics, and add essential branding elements.

Selecting the Right Template

Canva provides a diverse range of email signature templates, offering a convenient starting point for users.

First, open your internet browser and navigate to www.canva.com. This will lead you to the homepage, where you’ll find all the essential information and options.

To begin creating your personalized signature template, simply type “email signature” into the search bar.

After hitting enter, you’ll be presented with a multiple template. You can scroll endlessly to explore various templates or utilize the category option located on the top left to refine your search according to your specific needs.

As you browse, you may notice certain templates marked with a crown symbol 👑 on the bottom right of the template.

These exclusive templates are available only to subscribed users. However, templates without the crown symbol are entirely free to use.

Additionally, you’ll find a blank template that allows you to start from scratch. This feature enables you to create a customized template tailored precisely to your requirements.

Once you’ve chosen your desired template, simply click on it, and it will open in a separate window.

From there, click on the “Customize” button, and you’ll be transported into the Canva Magic room with your selected template.

This is where the creative process begins, allowing you to personalize your template to perfection.

Customizing Text, Fonts, and Colors

For modifying the text design, name, job title, contact information, color, font, font size, and size of your signature template, please explore the various tools available in the left navigation section and at the top of the template interface.

These tools are designed to be intuitive and easy to use, ensuring you can make all necessary adjustments with ease. Let’s explore how to utilize these features effectively.

Canva also allows you to choose from the palette to apply my brand colors, ensuring consistency across all my branded materials.

You can enhance your signature template by selecting elements from the left navigation panel in Canva, where you can add symbols, logos, and much more to suit your design.

Adding Professional Elements and Icons

Here’s how you can customize your email signature effectively:

  1. Upload Your Logo: Import your company logo and integrate it seamlessly into your signature.
  2. Resize Images and Text: Use the corners of the selected image or text box to adjust their size to fit your layout perfectly.
  3. Style Your Text: Select any text to change the font size, style, and color, enhancing the overall style of your signature.
  4. Add Additional Text Blocks: Simply copy and paste an existing text block to place additional text wherever you need it.

These steps will help you create a professional and personalized email signature in Canva.

Exporting and Optimizing Signature Image from Canva

Once you are satisfied with the design of your email signature template, it’s time to download and save it to your computer.

You can then easily upload the same template into your Outlook signature.

Let’s dive in and understand the process of choosing the right file type, optimizing for clarity and size, and successfully downloading your custom signature.

Choosing the Appropriate File Type

For email signatures, PNG is my go-to format because it supports transparent backgrounds, which is ideal for clean integration with various email backgrounds.

PNGs also maintain the quality of the graphics better than other formats, like JPEG, particularly when text is involved.

If you take a look at the images in the blog post above, you’ll notice that they are all in PNG format.

Ensuring Image Quality and Size

A high-resolution image is crucial for maintaining a professional appearance. In Canva, I ensure that my signature image is set to at least 300 pixels per inch for high-resolution quality.

I also make sure to crop the image tightly to the signature to eliminate unnecessary whitespace, which ensures that the size is optimized for email—we’re aiming for an image that looks sharp on all devices without taking up too much storage space or bandwidth when sent.

Downloading the Signature

Finally, all set to download the signature. Click on the share button available on the top right corner of the screen, now click on the ‘Download‘ button, choose PNG as my file type, and confirm that the dimensions reflect the quality I need.

In just a few seconds, your PNG image of the email signature template will be downloaded to your system and is now ready for use.

Setting Up Signature in New Outlook

Now that you have created your customized email signature template in Canva, it’s time to add that signature to your new Outlook account.

Let’s walk through the process of accessing the signature settings, inserting a Canva-created image, and including essential contact details and interactive links.

Accessing Signature Options in Outlook

As you may know, the new Outlook interface closely resembles Outlook on the web.

To create a new signature and add your existing Canva template to your Outlook signature, you’ll need to first click on the settings gear icon located at the top right corner of your screen.

When you open the settings dialog box, you will see three panels. Start by selecting ‘Accounts‘ from the left panel.

In the middle panel, choose ‘Signature.’ This action will display the signature area in the third panel, where you can easily view your existing signature or add a new one.

You also have the option to assign your new signature to a specific email address and set it to automatically appear when you create a new email, or when you reply or forward messages.

This ensures that your chosen signature is consistently included in the body of your messages for future correspondence.

Inserting the Canva Signature Image

To insert your customized Canva signature image, click on the picture icon within the signature editor. This will allow you to upload your signature image, ensuring it aligns with the professional aesthetics of your email communications.

Adding Contact Details and Hyperlinks

In addition to the image, you can type in my professional details, such as my name, position, and company which you have not added into your template signature.

In addition, you can also link your social media profiles or personal WEBPAGE by highlighting the “text” or “email signature template image” and clicking the link icon to add the URLs. This offers recipients quick access to my professional network.

By following these specific steps to integrate a custom Canva signature into New Outlook, I ensure a consistent and professional appearance for my email correspondences.

Final Words

Once you create an email template in Canva, adding that signature to your emails can really enhance their professional appearance.

When your recipient receives your email, the signature helps make a strong impression, whether you’re sending a marketing email, announcing a new book launch, or introducing a product.

The content of your email, enriched with an appealing signature from Canva, becomes part of your impactful communication strategy.

This ensures that every element of your email contributes to a positive and professional impression.
